AI RECEPTIONIST SETUP, BOLT-ON
AI Receptionist Setup for the Phone System You Already Pay For
5:40pm on a Tuesday: the main line rings while the front desk is closing up, the caller hears the voicemail greeting, and hangs up to dial the next name on the list. Nobody tells you the call came in. The matter, the patient or the new client behind it goes to the practice that answered. It happens at law firms, clinics and professional practices that already pay for a phone system and still lose the call after hours. We set up an AI receptionist on that same system, and the intake lands in your calendar and CRM during the call.

What it costs when it slips
The phone system is bought and paid for. The calls still get missed.
- When the front desk is busy, or it is after hours, the caller gets voicemail, and an urgent caller dials the next name on the list.
- You already pay for Zoom Phone, Webex or Genesys. Replacing the whole thing just to answer calls means ripping out what works and retraining the office.
- Intake lands in a voicemail box, a sticky note or someone's memory, and the calendar and CRM get updated whenever somebody finds time.
What changes
What changes on your phone line
Every call answered on the system you run
The AI receptionist picks up on the platform you already pay for. Nothing gets ripped out and nobody has to relearn the front desk.
Intake lands where it belongs
Name, reason for calling and callback number are written into your calendar and CRM during the call, not left sitting in a voicemail box.
After hours stops being a gap
The same approved call flow runs at 6pm on a Tuesday as at 10am on a Monday, and every call is logged with its outcome.
A named owner for every line
The written call plan says what correct looks like, and the acceptance checklist checks it before go-live. Mike Rodgers signs every line before anything answers a live call.

The offer
The Bolt-On Receptionist Build
- Call Flow Plan. Outcome: the greeting, the intake questions and the hand-off rules are written down before anything answers a live call. Accepted when you approve the written plan.
- Platform Setup. Outcome: the receptionist answers on the phone system you already pay for, with no new phone service to buy. Accepted when a test call reaches it on your own account.
- Intake Write-Back. Outcome: name, reason for calling and callback number land in your calendar and CRM during the call. Accepted when a test call writes a record you can open.
- After-Hours Rules. Outcome: the same approved flow runs when the front desk is closed. Accepted when an evening test call follows the plan.
- Written Data Note. Outcome: before go-live you know what the system records, where it is stored and who can see it. Accepted when you have read the note and approved it.
- Acceptance Checklist. Outcome: done means done. Accepted when every line passes on your call flows, and the checklist is kept by you.
- A named person to call. Outcome: a failure has an owner. Accepted when Mike Rodgers signs each checklist line.
- One spine, named per buyer situation. Law firms get the Intake Build. Clinics get the Patient Build. Professional practices get the Desk Build. The parts above do not change.
Quoted before work
Setup is a one-time build fee, quoted in writing for your platform and scope before work starts. Go-live is scheduled after the acceptance checklist passes on your call flows.
You approve the written call plan before it answers a live call. Nothing goes live on your number until you approve it, and the acceptance checklist is kept by you. The call flows, the intake configuration and the call log are yours.
How it works
Three steps, one owner.
01
Tell us what you run
Your phone platform, your intake questions, your after-hours rules. You get back a written call-flow outline and a quote. No call needed to start.
02
We build it and run the checklist
The setup is done on your existing platform and tested before go-live. The acceptance checklist runs on your call flows, and nothing answers a live call until every line passes.
03
It goes live, and the log shows what it did
Calls are answered by the flow you approved. Anything outside the flow reaches your team, and every call is logged with its outcome.
See it work
A worked demonstration.
Sample call from a demonstration line, not a client system. Caller: do you handle landlord-tenant matters? AI receptionist: our intake covers that. May I have your name and a callback number? Caller: this is urgent, can I speak to someone now? AI receptionist: I am connecting you to the on-call line per the rules your office approved.
Demonstration, not a client result

Straight answers
What this does and does not promise.
- What does it cost?
- Quoted before work. Your quote is a fixed fee for the agreed scope on your platform, written before anything starts, and it covers the build and the acceptance checklist. Your phone platform's own monthly bill stays with your provider. If you want one workflow mapped first, the One-Workflow Review is a separate $3,500 fixed fee, with a written readout within ten business days after required access. The readout is yours to use with any vendor or internally. It is not credited against the build price: the build is quoted on its own.
- How long does setup take?
- The date is agreed in writing at scope, after the call-flow plan is approved. Go-live is scheduled only after the acceptance checklist passes on your call flows. The one fixed timeline on this page is the One-Workflow Review: a written readout within ten business days after required access.
- What is included and what is not?
- The build covers the written call-flow plan and the setup on the platform you already run. It adds the calendar and CRM write-back, the written data note and the acceptance checklist kept by you. It does not include a new phone service or your platform's monthly bill, and it does not change your pricing or your scheduling rules. Your quote lists the agreed scope in writing before work starts.
- What data does the call line record?
- Before go-live the build documents in writing what the system records, where it is stored and who can see it. You read and approve that document before the line answers a live call. Anything beyond it stays governed by your own phone platform account.
- What happens when it gets something wrong?
- It hands the call to a person by the rules you approved, and the call is logged with what it was about. Nothing is guessed: the receptionist answers only from the facts and rules you provide. If a checklist line fails before go-live, nothing goes live until that line passes.
- Do we have to replace our phone system?
- No. The work is done on the system you already pay for, for example Zoom Phone, Webex or Genesys Cloud CX, using its admin access and the integrations it supports. This is setup work on your own account: the platform account is yours and stays yours.
