AI receptionist and answering service for dentists and med spas
Tuesday, 2:40pm in a dental practice: the phone rings while the provider is with a patient and the desk is at checkout, and the caller hears voicemail and calls the next practice on the list. The cost is that appointment and a callback your desk has to make between patients. The Front Desk Run answers your practice number on every call routed to it during and after hours, books the appointment in the scheduling calendar your front desk already uses, and puts a written summary of every call in your desk's inbox.

What it costs when it slips
Where the calls get lost
- Tuesday, 2:40pm in a dental practice. The phone rings during a hygiene visit while the desk is checking out a patient. The caller hears voicemail, and that appointment goes to the practice that answered.
- Thursday, 6:20pm at a med spa. A consult caller wants a time for injectables and reaches voicemail after hours. The slot goes to the spa that answers.
- Every voicemail turns into a callback the desk has to make between patients, and the calls nobody answers never show up anywhere to be counted. The calendar does not fill itself.

The offer
The Front Desk Run
- Call Plan. The written definition of correct for each reason a patient calls: what the system says, what it asks, what it books and when the caller goes to a person. Outcome: callers hear the words your practice approved. Accepted when you have read the plan and approved it in writing.
- Answered Calls. Your practice number answered on every call routed to it during and after hours, taken from the approved Call Plan. Outcome: the phone is covered while the desk is with a patient. Accepted when test calls against the plan pass before your number is touched.
- Booked Appointments. The booking lands in the scheduling calendar your front desk already uses with the caller's name and number. Outcome: the desk sees the appointment without retyping anything. Accepted when a test booking appears in your calendar.
- Written Call Summaries. A short summary of every call in your front desk inbox. Outcome: nothing lives only in voicemail or in one person's memory. Accepted when a test summary reaches the inbox.
- Human Handoff. Clinical questions and urgent calls go to a person on your team, exactly as the Call Plan says. Outcome: a caller with a clinical question reaches a person. Accepted when the handoff is tested before go live.
- HIPAA-conscious setup: vendors that may touch patient data sign a BAA before go live.
- One Front Desk Run spine with a named variant per practice. Dental practices get the Hygiene and New Patient Run: new patient exams and hygiene visits booked, insurance questions handed to your team. Med spas get the Consult and Treatment Run: consults and treatments booked, pricing questions handed to your team. The named parts above do not change.
Quoted before work
Setup is quoted with the monthly fee, before work starts.
You read and approve the written call plan before it answers a live call. Nothing goes live on your number until you approve it.
How it works
Three steps, one owner.
01
Call flow review (free)
You describe how the phone is handled today. We write the Call Plan: who calls and what they need, what gets booked and what hands off to a person. The plan is yours to keep and use with any vendor. You can also check your own front desk first with the free 8-check Dental Front-Desk Booking Scorecard (/scorecard-dentistry) or the Med Spa Consult Booking Scorecard (/scorecard-medspa). Answers stay in your browser.
02
Build and test
We build to the Call Plan, connect your scheduling calendar, and run test calls against the plan before your number is touched. You approve the Call Plan before it answers a live call.
03
Go live and stay on it
It answers your calls. Summaries arrive in writing. Mishandled calls are reviewed and the Call Plan is corrected.

Straight answers
What this does and does not promise.
- What does it cost?
- Setup and the monthly fee are quoted before work starts. For comparison, Ruby's live answering plans run $250 to $1,725 a month and Smith.ai's receptionist plans run $300 to $2,100 a month, published on their pricing pages and checked 2026-09-24. The One-Workflow Review is $3,500 fixed fee, with a written readout within ten business days after required access. The readout is yours to keep and use with any vendor or internally. It is not credited against the build price, and the build is quoted on its own.
- How long before it answers live calls?
- The date is agreed at scope and setup is quoted with the monthly fee before work starts. A build starts only after you approve the Call Plan in writing, and your number is not touched until test calls against the plan pass. The One-Workflow Review has a published timeline: $3,500 fixed fee, with a written readout within ten business days after required access.
- What is included and what is not?
- The Front Desk Run covers the Call Plan, your practice number during and after hours, bookings in the scheduling calendar your front desk already uses, written call summaries of every call, and the human handoff the plan names. It does not include clinical advice, insurance adjudication, retraining your staff or replacing your systems. Insurance questions and clinical questions go to your team, as the plan says.
- What about patient privacy?
- The setup is HIPAA-conscious, and you read the call plan before it goes live. Patient details on a call can be protected health information: vendors that may touch patient data sign a BAA before go live, and call summaries carry only what your desk needs. We do not certify your practice; your compliance lead should read the call plan too.
- What happens when a call goes wrong, and who owns what?
- You get the transcript and a written fix, and the call plan is corrected. Clinical questions and urgent calls are handed to your team as the plan says. The call plan, the call summaries and the calendar entries belong to your practice, whether or not you keep the service.
- Will it handle dental and med spa calls?
- Yes, within the call plan you approve. For dental practices it books new patient exams and hygiene visits. For med spas it books consults and treatments. Questions outside the call plan, including insurance and clinical questions, go to your team. You keep your phone number and the scheduling calendar your front desk already uses.
